As an accomplished administrative professional and a decisive, self-motivated team player, the Administrative Assistant will provide diversified and high-level administrative support to the Finance and Corporate Services portfolio. The Administrative Assistant supports the Vice-President, Finance and Corporate Services, Director Project Management and Infrastructure and Director, Finance. Duties will include, but are not limited to:
•Liaise and work with the various departments within the portfolio providing support, contribution to projects, reports and data collection.
•Assisting the VP and/or Director(s) with tracking various aspects of reporting including financials
•Coordinating information and correspondence distribution from VP and/or Director(s).
•Preparing and/or summarizing reports and preparing background materials by compiling and analyzing information.
•Directs preparation of records such as agenda, minutes, and resolutions for corporate meetings.
•Composes and prepares confidential correspondence, reports, and other complex documents.
•Creates and maintains reports and excel spreadsheet files.
•Participates in project management initiatives, including main point of contact for capital project documentation, assists in establishing timelines and monitoring progress.
•Coordinates internal moves, including communicates progress and timing of moves, generating work orders; and works with Housekeeping, Information Technology and Maintenance to implement changes.
•Organizes the infection control and prevention training for all construction projects.
•Process purchase requisitions for capital redevelopment projects and tracks expenses.
•Coordinates sales of daily and short term use parking vouchers to staff and students.
•Assists with communication updates through the intranet and internet, Meditech and Electronic Signage.
•Word processing, data entry, filing and photocopying of general and confidential documentation.
•Assists with program operations and projects as required and coordinates room bookings.
•Supports various task forces/committees.
•Works with other Administrative personnel for cross coverage and assisting when required.

Post secondary degree or diploma complemented by an administrative studies program.
•5-7 years experience in a senior office management position.
•Experience in a fast-paced healthcare environment an asset.
•Superior skills in computers, specifically Word, Excel, Power Point and Access, and report writing skills required. Experience with project management software will be considered an asset.
•Competent meeting planning and excellent organizational skills are required.
•Exceptional communication skills (both written and verbal).
•Demonstrate a high level of personal and professional integrity.
•Exhibit a good attitude, great work ethic, and good decision-making ability.
•A proactive approach to problem solving and building positive relationships within the hospital staff and management.
•Excellent time management and ability to prioritize multiple projects and adjust workload accordingly to meet ever changing deadlines.
•Strong team approach, commitment to quality care, and the ability to facilitate change, partner and strive to achieve results.
•Regular attendance is required.
