LOCATION: Sunnyside Home, 247 Franklin St. N., Kitchener
Provides reception and clerical support for Sunnyside Home staff and residents. Receives and directs telephone calls, visitors, staff, residents, and deliveries appropriately; provides general information or direction. Operates a CB radio to contact van drivers. Uses a page system to contact Environmental and Maintenance Services E&MS). Opens, sorts, and distributes incoming mail and assembles and directs outgoing mail. Sorts and distributes faxes. Photocopies and faxes documents. Designs forms, posters, invitations, flyers, and brochures. Assists in the production of the monthly newsletter; solicits submissions, edits, and formats newsletter. Types various documents, including broadcast e-mails, memoranda, letters, banners, menus, minutes, purchase orders, cheque requisitions. Ensures that various keys are distributed, returned, and secured on a daily basis. Books facility meeting rooms. Maintains a log of van usage. Arranges for taxis or other appropriate transportation for residents. Arranges pick-up and payment for liquor and snacks for resident pub nights. Processes P-Card statements for E&MS staff. Prints updated lists of current residents from GoldCare. Maintains a list of newspaper recipients. Posts bills and deposits to bank for the Community Alzheimer Program; enters information into database to track outstanding amounts and issue invoices. Performs filing and records retention duties. Assists with fundraising activities. Writes and sends thank-you letters to families who donate flowers. Monitors and orders office supplies. Processes birthday cards for residents. Acts as a back-up to Food Services for making floats and deposits. Work requires heavy visual concentration, auditory concentration, attention to detail, and sitting for prolonged periods at a computer while simultaneously answering the switchboard and responding to inquiries in person. Cannot leave the reception area unless relieved by another staff member. Work is subject to constant interruptions. Has contact with residents who are often confused or agitated, and their families, who are concerned, and sometimes upset or angry, occasionally exposing incumbent to verbal abuse.
Knowledge of office procedures, word processing, calculating, communication, and arithmetic skills, normally acquired through the attainment of a Grade 12 education plus two years experience in a long-term care environment to understand the complex needs of the elderly and cognitively impaired. A tuberculosis test and annual influenza immunization are required. Knowledge of related Regional policies and procedures. Communication, human relations, and organizational skills to respond pleasantly and professionally to simultaneous demands and provide information with tact and patience; process and relay information; receive and direct visitors; and to participate as an effective team member. Skill in the operation of a switchboard, CB radio, and other office equipment. Skill in the operation of a computer, using Microsoft Office, Lotus Notes, DOCS, and GoldCare; ability to use other software applications. Must provide an acceptable Police Records Check in order to ensure suitability for working with vulnerable populations. Ability to read general correspondence, invoices, and instructions, and edit newsletter submissions. Ability to compose and design letters and cards and write clear messages. Ability to respond to inquiries over the telephone and in person. Ability to support and project values compatible with the organization.
WAGE/SALARY: $18.34 - $19.45 per hour
